If you have completed recognition of prior learning (RPL), you might assume your registered training organisation (RTO) keeps every document you submitted indefinitely. It usually does not. The answer depends on which record you mean: your completed assessment evidence, the RTO’s assessment decision, or its record of a qualification or statement of attainment issued to you.
For an ASQA-regulated RTO, the 2025 RTO requirements generally call for completed assessment evidence to be retained for at least two years after the assessment decision. Records of qualifications and statements of attainment issued are subject to a much longer retention period: 30 years. These are different records, and the longer period does not mean the RTO must keep every photograph, workplace document or other piece of RPL evidence for 30 years.
These are minimum requirements, not a promise that every item will be available to you for that entire period. Other obligations, including funding agreements, legal holds or an RTO’s records policy, may require longer retention. Requirements can also differ where a provider is regulated under a different jurisdiction’s arrangements. Check the rules applicable to your provider and assessment date with the RTO or its regulator. The Australian Skills Quality Authority (ASQA) is the national VET regulator for most Australian RTOs.
RPL is an assessment process. Instead of assuming that work experience automatically earns a qualification, an RTO assesses evidence of your existing skills and knowledge against the relevant training product. Depending on the assessment, your file might include:
Not every item on that list necessarily has the same retention treatment. For example, an issued-credential record is not the same thing as a copy of a workplace photograph submitted to support an assessment. If you need a particular document, name it when you contact the RTO rather than asking broadly for “my RPL records”.
No. The long-term requirement concerns records of issued qualifications and statements of attainment. It should not be read as a guarantee that your original RPL portfolio, each assessment item or every copy of a document supplied by an employer will still be held decades later.
It is sensible to keep your own copies of evidence you are permitted to retain, along with your qualification or statement of attainment, transcript and correspondence confirming the assessment outcome. Take particular care with confidential workplace information and other people’s personal information: you may not have permission to keep or share everything used in an assessment.
Contact the RTO that assessed you. Give your full name at the time of enrolment, an approximate assessment date, the qualification or unit codes if known, and a clear description of the records you want. The RTO may need to verify your identity and check whether the requested material can be released, particularly if it contains an employer’s confidential information or another person’s details.
If the RTO has closed, ask the relevant VET regulator about your options for obtaining an issued-credential record. A regulator or replacement provider may be able to help with certain records, but you should not assume it holds your complete assessment portfolio. You can also check current training-product details through the Australian Government’s training.gov.au register; the register is not a personal archive of your RPL evidence.
Before submitting evidence, ask the assessing RTO how it stores assessment material, how long each type of record is retained, whether you can obtain copies, and how sensitive workplace documents are handled. Retention and access are related but separate questions: a record can still exist without being automatically available for release in full.
