What happens to my evidence if I cancel an RPL application?

If you cancel a recognition of prior learning (RPL) application, you might reasonably expect your work samples, identification documents and other evidence to be returned or deleted. It is worth checking rather than assuming: what happens next depends on who received the evidence, how far the application progressed, and the privacy and recordkeeping requirements that apply.

The most useful first step is to ask for a written account of where your evidence is, what will happen to it and whether any copies must be retained.

Who has your RPL evidence?

Your evidence may be held by more than one organisation. If you sent documents to an RPL support service, that service may hold the material you supplied during the advisory process. If an application was submitted to a registered training organisation (RTO), the RTO may also hold copies in its assessment records.

Those are different roles. RPL Access Australia can support you with understanding the process and preparing an application. An RTO decides whether evidence meets the requirements for RPL assessment and, where appropriate, issues the qualification or statement of attainment. Cancelling support with one organisation does not necessarily close a separate assessment or records process with another.

If you are unsure whether an RTO has received your evidence, ask for its name and whether your application was formally submitted. You can check RTO registration through the Australian Government’s training.gov.au register.

Will my evidence be deleted when I cancel?

Not necessarily. Some documents may be eligible for deletion, while others may need to be kept for a period because of an organisation’s legal, regulatory or operational obligations. The answer may also differ between original documents, uploaded files, emails and assessment records.

Ask each organisation holding your information which documents it has, whether it will delete or return them, and whether it must retain any copies. If it cannot delete something, ask why, how long it expects to keep it and how it will protect the information in the meantime. Avoid sending more sensitive documents while you are waiting for an answer.

Privacy rights can depend on the organisation and the circumstances. The Office of the Australian Information Commissioner provides Australian guidance on personal information and privacy complaints. You can also read the organisation’s privacy policy to find out how to make an access, correction or privacy request.

Can I get my documents back or use them later?

Ask for the return of any originals you supplied and whether you can receive copies of digital evidence or an inventory of what was submitted. Keep your own copies of payslips, references, work samples and other documents where you are entitled to do so. If a work sample contains an employer’s confidential information or someone else’s personal details, check that you have permission to keep or reuse it.

You may be able to use relevant evidence in a future RPL application, but it will not automatically be accepted. A future RTO assessor must make their own assessment against the applicable requirements. Older evidence may also need to be supplemented to show that your skills remain current.

What if an RTO has already started assessing my application?

Contact the RTO directly. Ask whether assessment has begun, whether cancellation is still possible, what records it must retain and whether any fees remain payable under the terms you accepted. If an assessment decision has already been made, withdrawing from a support service will not undo that decision or automatically remove the RTO’s records.

RPL assessment is separate from any trade or occupational licence, as well as any migration or visa process. The relevant licensing authority or government department makes those decisions independently; neither an RPL support service nor an RTO can guarantee their outcome.

A short cancellation request you can send

You do not need to write a lengthy explanation. A clear email can help establish what you asked for and when:


Send the request to the organisation you engaged. If an RTO also has your application, contact it separately. Keep copies of your message, the response and any list of documents returned.

Before you close the file

Check the cancellation and refund terms you agreed to, and ask for clarification if a charge or decision does not make sense. Most importantly, do not treat “application cancelled” as confirmation that every copy of your evidence has been erased. A written response about your documents, their location and any retention requirements gives you a much clearer picture of what happens next.
